Hi 

I am keen to understand how other clubs organise themselves for club racing.

we have a membership of 29ish members currently 

we currently run an email system, whereby the secretary sends out an email to all members, requesting a response to all if the individual is joining in the Saturday club racing , clearly this generates a lot of emails, as we also sail on a weds,  we may have the opportunity to sail an evening during the summer months, which will be yet another load of emails between members. 

In short I am trying to find a system other than email where members can check in to confirm their attendance, either web based or something I can integrate into our Wordpress web site https://huntingdonryc.wordpress.com/

We do need to know who is sailing as we rotate our OOD, and the OOD is chosen by the RO from the replies 

Any thoughts people ?

At Birkenhead, we have a paid for Wordpress website and I am using the "Events Made Easy" Plug-In for members or visitors to enter a race on any race day.  You can also set it up for users to cancel a booking as well.  This gives everyone an idea how many are sailing on a specific day.  It does however need every race day you use it to have an event and a webpage created to allow the entries to be made.  Probably at least half a days work for the webmaster to populate them for 6 months using copy and paste for the page info and them amend each one to link to the event ID.

Alternatively you could use a WhatsApp message between members as that relatively quickly shows how many might be sailing if you check for interested parties just a couple of days prior to the sailing.  With WhatsApp on the PC, it is easier to type messages and can also circulate results around the group as a message or an image.

Have a look at the Birkenhead website birkenheadrspc.co.uk and click on one of the "Upcoming Events" links.  Normally there are up to 8 forthcoming events in the links, but just in the process of setting up the Summer events at the moment.

I run the website for Harwich & Dovercourt MBC.  Not being a wealthy club, (our membership is about 40 @ £7 per head) we use Wix free hosting and also use an events based plugin, which drives a calendar.  Members can RSVP to indicate attendance, which we've found particularly important as our catchment is quite wide, which enables distant members decide whether to attend or not.  Very successful

Hi Larry, this looks ideal, what's the name of the plug in you use please ?

It's actually a Wix own plug-in...  but in another life I am an admin on a Wordpress site, and that uses "Modern Events Calendar" by Webnus which integrates with "Events Ticket and Registration"...  Not sure what the licensing costs of those are, that's beyond my paygrade!

As Peter mentioned, both my clubs have been using WhatsApp for some time. It seems to work well.

Cheers all, we have now got a halfway house, we use email for our main race day, Saturday, and WhatsApp for weds & Mondays, however it very soon turned into a playground, so I had to set up a further WhatsApp group for all the banter, tips , chat etc....

 

in short WhatsApp is working great, except when certain members forget to turn their phone on 😂😂

We could do with setting something like this at Clapham so all the above advice has been extremely helpful. I understand this is for race day attendance, but anyone have any advice on using software to manage memberships? We don't have a glut of members so currently everything is on good old paper files, but does anyone know how clubs are best setup to manage membership digitally?
