Data collection, Data loss and emergency numbers

Featured Replies

Sounds dull! And it might be, but let’s have a go… with a new idea

Emergncy contact numbers for people in your club, essential as we are an aging membership in general and in the event of an incident, contact with relatives etc is vital for their / our support.

Solution… we write our numbers down, stored on a sheet in race box for ease of access and sheet goes missing … lost!

Or… we don’t do that Steve we store it on line, and then if we need it we draw it down from online server, ok but how many people have access to that data and are they always there

One idea

We hold our own data,at club and regional events, our responsibility but no data no sail.

Stored on a small card, waterproofed in plastic wallet, stuck words facing the underside of radio.

So in an emergency, turn them over and turn their radio over!

At open meetings, show up with your £10 plus radio to show organisers your card on bottom of transmitter.

Advantages

You keep it up to data via numbers, medical information and it is private till needed.

Less data for club to hold in accessible format

Worth trying?

We have a credit card sized membership card, issued yearly, but double the width. It is then folded in half to be the right size.

Members are given a lanyard and clear cover.

On the outside front is member name and club number.

On the outside back is our lock numbers.

The inside has space for Member Address, Emergency Contact details, Medical details and Medication and what3words for the main gate for emergency services, our lake is off the beaten track and mobile service is minimal.

Members are expected to carry the card at the lake having completed the inside private info. As the card is held inside the cover the only time the private info would be seen is in an emergency when it is taken out the cover.

The club then has no need to keep the private data, if it is held then regular audits need to be made to update and delete as necessary.

Blank card can then be issued to visitors.
